The context
The client was building an HR system for companies where employees and managers needed to complete everyday people operations from their phones, not from a heavy desktop portal.
Leave, onboarding, approvals, documents, employee records and policy questions were spread across different screens and manual conversations. The product needed to make those workflows feel immediate while still giving HR teams structure and control.
The problem
Traditional HR software often makes mobile feel like a smaller version of the desktop product. That was not good enough for this use case.
Employees needed fast answers and simple actions. Managers needed approvals with enough context to make a decision. HR needed accurate records and fewer repetitive questions. The mobile experience had to coordinate all three without becoming another complicated enterprise interface.

The employee experience
We designed the mobile product around a concise home view that surfaces the actions an employee is most likely to need next.
Self-service HR
Employees can access key HR actions such as leave requests, payslips, onboarding tasks, profile information and employment documents without navigating through a dense administration system.
AI policy assistant
An AI-native assistant lets employees ask natural-language questions about company policies and receive responses grounded in approved HR knowledge rather than generic model output.
Onboarding in context
New joiners see outstanding tasks, documents and actions as a guided mobile workflow so onboarding feels like a sequence of clear next steps rather than a checklist buried in email.
Notifications that lead somewhere
Notifications were treated as entry points into the correct action — an approval, document, task or update — rather than passive reminders that send users searching through the application.
The manager experience
Managers needed enough context to make decisions without becoming HR administrators.
Approval flows were designed to show the request, relevant employee context and the decision required in one place. Leave, onboarding and other manager actions could be handled quickly while preserving a clear record of who approved what and when.
Making AI part of the product architecture
AI was integrated as a product capability rather than a separate chatbot screen. The assistant can retrieve approved policy context, interpret employee questions and direct users into structured workflows when an actual system action is required.
The boundary matters: AI helps employees understand and navigate, while deterministic application logic continues to own records, permissions, approvals and irreversible changes.
Engineering the mobile system
The mobile application was built together with the backend capabilities it depended on: authentication, employee data, HR workflows, approval states, notifications and API integrations.
That kept the experience consistent from screen to system. A mobile action did not end at the interface — it changed the correct workflow state, notified the right person and remained visible to HR.
